1. Who we are and what this covers

Linnia LLC ("Linnia," "we," "us") operates linnia.io. This Privacy Policy explains how we handle information collected through this website.

It does not cover the Linnia platform. Data processed in the platform, including any protected health information, is governed by our written agreements with customer organizations and, where applicable, a Business Associate Agreement. See section 5.

2. Information we collect

Information you give us. When you book a meeting through our scheduling link, you provide your name, email address, organization, and any notes you choose to add. When you email us, we receive your message and contact details.

Website usage data. We use privacy-focused analytics tools to understand how the site is used. They do not use cookies and do not track you across other websites. They collect aggregate information such as pages viewed, referring site, browser type, device type, and country. We use this data in aggregate and do not use it to identify individual visitors.

Server logs. Our hosting provider automatically records standard technical information, such as IP address, browser type, and request time, to operate and secure the site.

3. How we use information

We use the information described above to:

• Respond to inquiries and schedule meetings
• Follow up about Linnia with people who contacted us
• Operate, maintain, secure, and improve the website
• Comply with legal obligations

We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not run advertising on this website. We will not use personal information for materially different or unrelated purposes without first giving you notice.

4. How we share information

We share information only:

• With service providers who help us run the website and our business, such as hosting, analytics, scheduling, and email providers. They may use the information only to provide services to us.
• For legal reasons, when required by law or legal process, or to protect the rights, safety, or property of Linnia or others.
• In a business transfer, such as a merger, acquisition, or sale of assets, subject to this Policy.
• With your consent.

When you use our scheduling link, our scheduling provider also collects your information under its own privacy policy.

5. Platform data and protected health information

Information you provide on this website is not protected health information (PHI). Do not submit patient information through the website, the scheduling link, or email.

When Linnia processes data on behalf of a healthcare organization through the platform, it does so as a business associate under HIPAA. That data is governed by the customer agreement and Business Associate Agreement with that organization, not by this Policy. If you use the Linnia platform as part of your work for a customer organization, contact that organization with questions or requests about platform data, including access, correction, or deletion. You may also email [email protected], and we will work with that organization to respond.

6. Cookies

This website does not use cookies for tracking or advertising. Our analytics tools do not use cookies. If that changes, we will update this Policy before it does. Because we do not track visitors across other websites, we do not change our practices in response to browser Do Not Track signals.

7. Data retention

We keep contact and scheduling information as long as needed for the purposes above, including an ongoing business relationship, and then delete it. We may keep information longer when it is stored in backup systems until those backups expire, when needed to establish or defend legal claims, when required to comply with legal obligations, or when needed to protect the security of the website. Aggregate analytics data does not identify individuals.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure.

9. Your choices and rights

You may ask us to access, correct, or delete personal information we hold about you, or to stop contacting you, by emailing [email protected]. Every marketing email we send includes a way to unsubscribe. Depending on where you live, you may have additional rights under state privacy laws. We will not discriminate against you for exercising them.

10. Children

This website is intended for healthcare professionals and organizations. It is not directed to children under 16, and we do not knowingly collect their information.

11. United States operations

Linnia operates in the United States. Information is processed and stored in the United States.

We may update this Policy. We will post the new version here with a new effective date.
